Venue Policies

Welcome to Southern New Hampshire’s most customizable venue. While we love to say yes, we have established some rules and recommendations to ensure your safety and enjoyment. Your cooperation in following these guidelines and communicating them to any non-preferred vendors is greatly appreciated. Please note, you are responsible for the behavior of your guests.

Full-Service Catering:
Full-service catering is preferred. If you choose not to use one of our full-service catering partners and use food trucks or drop off catering services you must purchase or rent any necessary linens, and tablewares/serving utensils . You MUST also hire event staff for busing tables and removing garbage. This can be arranged through our recommended Mobile Bartending and Event Staffing services. We require one hired staff member for every 50 guests.

Vendors:
All decor and vendor items, including garbage removal, must be cleared by 11:00 PM. Our team will handle the removal of centerpieces, linens, signage, and the breakdown of tables and chairs.

Installations:
Large installations, such as staging, lighting, or ceiling decor, must be professionally installed.  

Music:
Outdoor acoustic music is permitted, but must conclude by 7:00 PM to respect our onsite tenants. Indoor amplified music must be turned off by 10:00 PM.

Decorations:
The use of glitter, rice, confetti, etc., is prohibited. Wires, tacks, nails, and glue are not allowed for hanging decorations without written consent from the Venue Director. Decorations must be placed and removed without causing damage; 3M Command hooks are acceptable.

Floor Plan & Seating Chart:
The placement of tables, live music, DJ setups, catering equipment, etc., must be approved no later than one month before the event. The final seating chart is due no later than one week before the event. 

Alcohol:
If alcohol is served, you must hire one of our approved NH Licensed bartending services listed on our vendor list. Self-service of alcohol is not allowed under any circumstance

Children:
Children are welcome, but must be supervised by an adult at all times.

Dogs:
We are pet-friendly, but someone must be assigned to watch your dog at all times.

Smoking:
Smoking and vaping are strictly prohibited inside the venue. These activities are only allowed 25 feet away from the building.

End Time:
All events must end by 10:00 PM to comply with local sound ordinances and to allow for cleanup and site closure by 11:00 PM.

Sparklers:
Cold Sparklers are allowed but require a permit from the Manchester NH Fire Department.

Candles:  

Candles are permitted if contained in proper globes, cylinders, or floating.

Insurance Requirements:

  • General liability coverage with a  $1 million limit is required, including liquor liability coverage if alcohol will be served at your event.

  • Please list R&Y Events LLC & The Factory On Willow LLC, 848 Elm St, Manchester, NH 03101 as additional insured, not "Venues at The Factory on Willow" (our building name).

  • Most clients choose to purchase event coverage from Eventsure, but you may use any accredited private company or your homeowners insurance.

  • Insurance coverage typically costs $100-$175 for a one-day policy. This payment goes directly to the insurance provider, not to us.

  • Proof of coverage should be uploaded in PDF format to the Honeybook platform no later then 30 days prior to the event.

For Vendors, we require an up to date Certificate of Insurance (COI) 

  • If the vendor is on our preferred list, we will already have this on file 

  • Please have your vendor list R&Y Events LLC & The Factory On Willow LLC, 848 Elm St, Manchester, NH 03101 as a certificate holder not "Venues at The Factory on Willow" (our building name).
