Vendor & Catering Guidelines

Honoring Cultures & Traditions

We welcome outside vendors and catering partners, with no additional fees for working with professionals outside our preferred list.

However, we strongly believe that your level of service reflects directly on us.

To ensure a seamless experience for our clients, we ask that all vendors align with our expectations and maintain close communication throughout the planning process.

  • Key Planning & Communication Details

    Banquet Event Order (BEO): Please include us in the final BEO at Planning@TheVenuesatTheFactory.com.

    Client Timeline & Floor Plans: We will provide these 3–4 weeks prior to the event.

    Finalized Plans & Reminder: A final version and reminder email will be sent 1 week before the event.

    Venue Access: Up to 4 hours before the event (confirmed via email).

    Event End Time & Quiet Hours: 10:00 PM.

    Cleanup & Site Closure: By 11:00 PM..

  • Setup & Logistics

    Rentals: Please communicate if linens, dishware, drinkware are being dropped of by rental company. We do ask that linens arrive 4-6 hours prior to event.

    Coordinator Check-In:

    Upon arrival, please confirm your arrival and departure with the Lead Coordinator, who will assist with any venue-related needs.

  • Parking & Load-In

    Loading & Unloading: Permitted behind our building using our loading dock.

    We are located in the SOUTH parking lot 252 Willow St, Manchester, NH 03103

    Parking: Vehicles must relocate to street parking after unloading.

  • What We Offer:

    To support your team, we can offer:

    prep tables

    Electricity including food truck power hook-up

    Catering prep space with a 3 bay sink

    Carts

    Trash bins and bags, and access to our on-site dumpster.

Catering Requirements

  • General Liability Insurance

    Caterers must carry a $1 million General Liability Insurance policy, including liquor liability if alcohol is served.

    Certificate of Insurance (COI): Must name R&Y Events LLC and The Factory on Willow LLC as additional insured.

    This must be emailed one month in advance to planning@thevenuesatthefactory.com

  • Staffing, Bussing & Trash Removal

    Food Removal: Package or remove leftover food (venue does not supply containers).

    Trash Removal: Dispose of trash in the onsite dumpster.

    One server per 50 guests for bussing and trash management is required.

    If you are a food truck and don’t provide staffing, please make this clear with your client and us so we can support them finding a bartending and staffing partner.

  • Dishware & Linens

    Our caterers provide dishware, linens, and place settings.

    If this is not included in your service, please notify both the client and our team ASAP so we can assist with rental arrangements.

  • Insurance Requirements

  • NH Liquor License

    Vendors must hold a valid New Hampshire liquor license and complete any required state forms before the event.

  • Liquor, Ice, and Coolers

    Liquor, ice and coolers may be brought in by bartending partner or client.

    We encourage featuring spirits from our sister company, Manchester Distillery:

    Botanica Number 9 American Gin (NHLC #8862)

    Workhorse Vodka (NHLC #7678)

    Botanica Barrel Finished Gin (NHLC #8798)

    Sweetie Chocolate Liqueur (NHLC #62571)

  • Drink Service Guidelines

    All drink service must comply with New Hampshire Liquor Commission Guidelines.

    Recommended Open Bar Service

    To minimize guest wait times and maintain a smooth flow of service, we recommend at least one hour of open bar service at the start of the event.

    Water Service or Station

    To keep guests hydrated, we ask that water service or station remains available until the end of the event

  • Bar Setups & Clean Up

    Two indoor dry bars available one is located in our lounge and one is available in our Main Gallery.

    Outdoor bar setup available upon request for cocktail hour.

    You are responsible for removing liquor from onsite, our team can ensure you have what you need to load out.

    All events must end by 10pm with vendors and garbage removal out by 11pm.

  • Staffing & Trash Management

    One server per 50 guests for bussing and trash management.

     Dispose of trash in the onsite dumpster.

  • Half Moon Bar

    This beautiful hand built bar is on wheels and can be moved anywhere in the main gallery space. If it’s not used as a bar we will work with the client on other creative uses.

  • Lounge Bar

    Our speakeasy vibe bar has shelving for the back bar and easy access to the catering prep space. Sometime clients like to use this just for a cocktail hour.
